What are the festival dates and hours?

The Roxodus Music Festival will take place from July 11-13, 2019

Camping opens at 10am on Wednesday July 10, 2019

Where is the Roxodus Music Festival taking place?

Our site is located at the 420-acre Edenvale Aerodrome which is located 30 mins from Barrie, Ontario, 30 mins from Collingwood, Ontario and 90 mins from Toronto, Ontario.

Will there be ATMs on site?

There will not be any ATMs on site as we are a cashless RFID wristband weekend. All vendors will be able to accept your wristband.

There will be Top-Up Stations throughout the festival grounds, but we recommend selecting the automatic Top-Up option when you register your wristband.

Are children permitted at the festival?

Children are permitted at the Festival

Tickets are required for admittance to the Event, for all adults and each minor over the age of 12. Minors 12 and under do not require a ticket to attend the Event if they are accompanied by an adult with a valid ticket.

What is permitted on site?

For ticket holders 19 years or older, who are staying in the RV or tent camping area, you are entitled to bring the following in total per person:

  • 2L of wine

All vehicles and/or RV’s are subject to search by MF Live Inc. staff.

NO outside alcohol is permitted within the Roxodus Music Festival grounds (campgrounds excluded).

In and out privileges

The Roxodus Music Festival is located at a private airport just off Highway 26. This 2-lane highway is quite busy during the summer.

IN AND OUT OF FESTIVAL VENUE

You may leave and return at any time during the day. Just remember you will have to scan in and out of the Festival venue. This includes a security checkpoint.

IN AND OUT OF DAILY PARKING LOTS

You may leave and return throughout the day. Just remember that you will be subject to a search upon your return.

IN AND OUT OF CAMPGROUND WITH YOUR VEHICLE

You may leave and return to your campsite throughout the event. We suggest you don’t but if you must you must. Just remember that you will be subject to a search upon your return. Remember we don’t allow any outside alcohol to be brought on site.

Daily parking lots

Daily parking lots must display parking pass in the window of your vehicle. If you have a parking pass pre-purchased, then follow the PRE-PURCHASED line to get quickly scanned and on your way.

If you need to purchase a parking pass, then follow the PURCHASE line. You can pay by cash or credit/debit card at the Parking Pass tent.

Parking passes must be clearly visible through the windshield of your vehicle. They are designed to hang from your mirror.

Customer Service and lost & found

There will be Customer Service booths strategically located on site. All members will have radios and cell phones. If you lose something, just bring it to our Customer Service booth and a Roxodus team member will be glad to assist you.

Emergency Services

MEDICAL TENTS

There will be medical tents located near the Food Village, Main Bar and behind the stage. Advanced First Aid personnel, Paramedics, Nurses and Doctors will be on site to respond to any emergency medical call.

If you or someone else is in distress, flag down any Security member or Roxodus member to reach help.

 

SECURITY SERVICES

Our security staff will be on site throughout the weekend. They are trained in first-aid and have constant communication with Police, Fire, EMS and Operations personnel.

Security staff will patrol the campgrounds on ATVs or Side by Sides.

Just remember that Security and Police are in place to ensure our safety and that all patrons are subject to searches when entering or leaving our Festival.

 

EMERGENCY VEHICLES

Please ensure roads are not blocked so that Emergency and Maintenance vehicles can pass freely and safely. Do not park in unauthorized areas are you will be towed. Safety is our number one priority.

PAYMENT PLAN OPTIONS
Take advantage of the Early Bird Payment Plan and split the cost of the Festival into 4 equal payments interest free. The Payment Plan is only in place until December 31, 2018, while quantities last.

Your credit/debit card will be charged on the following dates:
– Initial Payment – $129.75 plus HST and fees
– Second Payment – $129.75 plus HST and fees on February 7, 2019
– Third Payment – $129.75 plus HST and fees on April 4, 2019
– Final Payment – $129.75 plus HST and fees on May 2, 2019

Ticket(s) will be released upon successful completion of payments. If you default on your payments you are risking having your order cancelled. Please ensure you keep an eye on your order to ensure all the payments go through. Missed payments will result in an email being sent by Eventbrite with instructions on how to make the payment.

WHAT DOES TIER 1, 2 AND 3 MEAN?

Tiered ticketing means ticket pricing tiers. Tier 1 tickets will be the cheapest priced tickets. Tier 3 will be the most expensive priced ticket. Buying early means big discounts. We allot so many tickets per Tier and once they are sold out we move to the next Tier. In short, the earlier you buy the less you pay.

 

REFUNDS

All tickets are FINAL SALE. Refunds will not be issued for any reason.

 

AUTHORIZED TICKET SELLERS

Roxodus will be using Eventbrite to process ticket purchases and a wristband/RFID partner will fulfill each and every order.

Do not buy wristbands from anyone other than our approved ticket seller. If you purchase a fake or fraudulent ticket/wristband you will not be permitted on site.

Do yourself a favour, do not buy from anyone other than approved Roxodus ticket seller.

ORDER CONFIRMATION

Your ticket confirmation will be sent to the email address you provided when you registered and purchased your tickets. If you don’t receive an email, then contact us at [email protected]. Someone will answer shortly. We will also send a thank you note acknowledging your purchase.

 

SHIPPING ADDRESS

Your wristbands will be shipped to the address you provide when you purchase your tickets. They will be shipped 2-3 weeks before the Festival. If you plan on moving in that time, please login to your account and change the shipping address. If by chance you forget, don’t worry, show up before the event to our WILL CALL tent and we can cancel the wristbands that were sent and hook you up with new ones. Easy peasy. Make sure the person who bought the tickets is the one who comes to pick them up. MUST SHOW PHOTO ID.

 

WRISTBAND SHIPPING

Your wristbands will be shipped to the address you provide when you purchase your tickets. They will be shipped to you 4-6 weeks before the Festival.

 

WILL CALL & BOX OFFICE

Tickets purchased after June 19, 2019 will not be shipped. You can pick up your wristbands at our Will Call/Box Office Tent located just before the general admission entrance (see map).

If you are coming from east of Highway 400, use Highway 400 and get off at Duckworth or Bayfield Streets.
If you are coming from west of Highway 400, use Highway 400 or Airport Road. Enter Edenvale Airport in to your GPS.

DIRECTIONS BY PLANE OR HELICOPTER 

Looking to fly in to the Festival by plane or helicopter? No problem.

We have a 4000’ runway, lots of ramp parking and Avgas 100LL, Jet A1A and Mogas 91 Octane.

Just check your Flight Supplement Guide for specific information. We will also be issuing NOTAMS so be sure to check before flying in.

What to do when you arrive on site?

MAKE SURE YOU FOLLOW THE SIGNS  

Here’s what happens when you arrive;

– When you get here, you will go from one lane to multiple lanes where you will be checked in for entry.
– You MUST have your camping passes or parking pass with you.
– Your vehicle will be searched
– Camping entrance will be separate from parking entrance
– All occupants of vehicle must have their wristbands registered and in place around their wrists.
– Once you have been processed you are free to go and park and prepare to be Rocked

 

PARKING 

Every vehicle entering the Festival site requires a camping pass or a Daily/Weekend parking pass to enter. Please ensure the pass is clearly visible and hanging from the mirror.

Wristband Info

WRISTBAND POLICY

Each ticket buyer will receive a branded, high security wristband with a uniquely coded RFID chip embedded inside. Every wristband will be scanned as you enter and exit the Festival grounds.

Your wristband will be shipped with detailed instructions on the proper procedure to use your Roxodus Music Festival wristband. It is very important that you follow the instructions to ensure ease of admittance upon arrival. Failure to follow instructions may result in being denied admission to the event.

Customer Service reps will be on site all weekend to answer any and all questions you may have with wristbands and top-ups.

You cannot transfer the wristband to anyone else. One wristband per person. Everyone has to have their own wristband when accessing the event.

 

WRISTBAND ACCESS TO FESTIVAL

Your wristband will gain you admittance to the Festival grounds based on the ticket type you purchased. If you purchased a weekend pass, then you can come and go all weekend. If you purchased a daily pass, then your admittance is only good for the date of that performance.

 

DAMAGED WRISTBANDS

If your wristband has been damaged or you tightened it too much, no worries. We can issue a new wristband once we cancel the first wristband and issue a new wristband.

Yes, all the funds you had left on the first wristband will be transferred to the new wristband.

If a wristband replacement is required a $25 fee will be charged.

HOW BIG IS A CAMPING SPOT 

– Regular and Accessible tent camping is 400 square feet (20’ x 20’)
– Non-hydro RV and Accessible RV camping is 1000 square feet (20’ x 50’)
– 30-amp RV and Accessible RV camping is 1000 square feet (20’ x 50’)
– 50-amp RV and Accessible RV camping is 1000 square feet (20’ x 50’)

 

WHEN DO THE CAMPGROUNDS OPEN

– The campgrounds open at 10am on Wednesday July 10, 2019
– Campground closes at 4pm on Sunday July 14, 2019

 

IS THERE A FAMILY-FRIENDLY CAMPING AREA?

– Attendees looking to bring children can request a spot in the designated Family-Friendly area
– You cannot book a Family-Friendly area online. Just ask at the Tollbooth when you arrive.
– Expectant parents may also request the Family-Friendly area

 

SITE SPECS

– Camping price is per-site
– You cannot purchase a single night camping pass. Camping price is for the entire weekend.
– Your camping site is assigned when you arrive. If you want to camp with your friends, you must arrive at the same time (you cannot save spots).
– Maximum 6 people per site (tent camping)
– Maximum 8 people per site (RV camping)
– One vehicle (car, SUV or pick-up truck) permitted per site
– Additional vehicle(s) must purchase a parking pass
– Everyone staying in campsite must have a Festival pass (single day or weekend pass)
– You cannot sleep in your car or van
– RV sites are 50’ deep. If your RV exceeds 50’ in length you must purchase a second spot
– You must disconnect your vehicle from trailer
– Garbage and recycling bins will be strategically placed throughout the campgrounds. You are responsible for cleaning your site and bringing your garbage and recycling to proper bins.
– If event staff have to clean up your site, you will be charged $250
– Potable water and clean-outs are available at an extra cost and must be paid directly to contractor on site.
– Showers will be available at an extra cost
– Powered sites do not include a cord from RV to power connection. Minimum 75’ cord required.
– RV’s that continue to trip the breaker will be disconnected. Ensure you book a site with enough power.

 

BEST SPOTS 

– The sooner you arrive, the closer you will be to the Festival entrance
– Shuttles will be available all weekend to get you from your site to the Festival grounds
– Washrooms (porta potties) will be plentiful and cleaned regularly throughout the grounds
– Potable drinking water will be available

 

OTHER INFO 

  • Medical and security staff will be present 24/7
  • No noise permitted between 2am and 7am
  • No campfires
  • No bicycles are permitted in camping area
  • No golf carts or other motorized vehicles permitted in camping area
  • There will be food vendors and a general store in campground.
  • There will be phone charging stations and wi-fi throughout the campground and festival areas
  • Small grills and barbeques permitted but must have a fire extinguisher within 3’
  • Contact info for water and clean-out contractor will be provide upon registration
  • Alcoholic beverages may be brought onto the campsite and stored there under the following limits: Each person at a campsite may bring any or all of i) up to forty-eight (48) twelve-ounce (or equivalent volume) cans of beer, ii) up to forty (40) ounces of liquor or spirits, and iii) up to two (2) litres of wine. ALL ALCOHOLIC BEVERAGES MUST BE CONTAINED IN NON-GLASS CONTAINERS. Glass containers are forbidden.
  • All vehicles and/or RV’s are subject to search by MF Live Inc. staff.
  • No outside alcohol is permitted within the Roxodus Music Festival grounds.
  • No dogs permitted. Only licensed service dogs allowed.

On-Site Information

WILL THERE BE WASHROOMS AND SHOWERS?

Washrooms

We know that using the “facilities” at some events can be very scary. But we have contracted a great porta-potty provider who will keep the units clean and stocked throughout the entire weekend. Please do your part and keep the outhouses clean.

Hand wash stations will also be on site.

MEDICAL AND SAFETY ON SITE

Security and Medical staff are on site 24 hours per day during the Festival. Check the Festival map (coming soon) Stay hydrated and wear plenty of sun protection.

 

Stay Hydrated

The Roxodus Music Festival encourages everyone to stay hydrated while on site. If all goes well, which it will, it will be hot and sunny all weekend.

Free water refill stations are located throughout the campgrounds and Festival area. Festival attendees will be permitted to bring in 1 factory-sealed bottle of water.

 

Do You Have Lockers On Site?

We will have high school style lockers available for rent all weekend to store your personal belongings. Lockers will be located just inside the main gate and will be open throughout the weekend while gates are open.

 

 

Health & Safety

KEEPING YOU SAFE

We work year-round with local, provincial and federal stakeholders that include Police, Fire, EMS, Alcohol, Health, Roads and security partners to ensure we provide the safest experience possible for Festival attendees. Our safety plans include multi-layered levels of security that begins from the moment you arrive on site. Event security, police and medical staff are stationed on the Festival grounds and are available 24 hours per day to respond to calls for assistance. Please don’t be that person that sees something and doesn’t report it. We need your eyes and ears to help us all enjoy a weekend of Rock, Art and Food. Contact the nearest Festival member to report suspicious behaviour.

 

MEDICAL TENTS

Medical personnel and tents will be spread throughout the Festival grounds all weekend. If you need our help with anything, don’t wait, just come and get checked to be sure. We assure complete confidentiality when you are with us.

MEDICATION

You are permitted to bring Doctor prescribed medication. The only thing we ask, make sure your Photo ID matches the name on the bottle.

 

CANNABIS AND SMOKING ON SITE 

While cannabis and smoking are legal, smoking cigarettes and cannabis will be restricted to authorized areas only. Don’t be that problem child that has to be asked to put out the butt or joint. We are all here to have a good time so don’t be that person!!!!

Vendors

VENDOR INFORMATION

Roxodus Music Festival has much more than rock & roll programmed for the weekend of the Festival. There will be a variety of unique and interesting goods for sale at locations throughout the site.

Food vendors will be positioned throughout the camping and Festival areas. If you are interested in having a spot-on site and have the proper health and insurance approvals, we want to hear from you. We are looking for unique and quality choices. Of course the obvious carnival type food is also welcome.

Unauthorized food vendors will be immediately removed from site.

Arts and craft vendors are welcome as well.

2019 Food vendor information

24BOOTH SPACES

We are accepting applications for the following food vendors:

– Booths: 10 x 10 space will be provided. Power and water will be at an additional charge
– Mobile Units: self-contained vehicles and trailers that have their own power and water
– Carts: may sell pre-packaged, non-perishable items

There are vending spaces available inside the Festival grounds as well as the campgrounds. For the campground area, preference will be given to vendors who can provide breakfast, lunch, dinner and late-night options from Thursday morning until Sunday afternoon. Since we are expecting a large crowd for the weekend, it is imperative each vendor has the experience and ability to serve large numbers of people in a reasonable amount of time. Don’t forget it’s going to be a long day. Staffing very important.

The rent for each 10 x 10 space will be $2000 plus HST. We will require a $1000 deposit to secure your spot and final payment by June 10, 2019. Final payment must include copies of Health permit and insurance documentation. The Simcoe Muskoka Health Unit is the governing body in our area. You can get the necessary forms from their website.

Inspection by our onsite Fire Department and Simcoe Muskoka Health Unit will be performed prior to allowing food vendors to begin operation. Inspectors may inspect at any time so follow the rules.

Power, water, trash and tent rentals available. All must be paid in advance.

 

FOOD AND BEVERAGE ITEMS

In addition to traditional carnival type food, we would like to have a diverse array of food items available, all at reasonable prices. Please consider your pricing careful and try to keep your prices to under $12 for any single item as well as including some lower priced items. We aren’t here to gouge our guests. Many guests will prefer vegetarian options, so we encourage you to be creative with your menus. Vendors must purchase all pre-packaged beverages and bottled water from our official supplier (tba). We ensure our supplier will charge reasonably. All food and beverage offerings have to be approved by the Roxodus management as well as the Simcoe Muskoka Health Unit.

 

VENDOR CONTRIBUTION TO FESTIVAL SUSTAINABILITY

A Festival as large as Roxodus can produce a lot of trash. We are very committed to reducing the amount of trash that is sent to our landfill and we are working on developing an extensive recycling and composting program. All vendors will be required to use compostable and recyclable paper products and cups. PLASTIC STRAWS will not be permitted.

Ensure your area is clean at all times. If we have to clean your area additional charges will apply.

As part of our commitment to the environment, we encourage vendors to buy products locally and organically where possible. Accepted vendors will be provided a list of companies and farmers that may be able to meet your needs.

 

FESTIVAL DATES AND VENDING HOURS

All vendors must arrive on site on Tuesday the week of the Festival. Main venue operators must be ready to go by Thursday morning and will be open Thursday, Friday, Saturday and part of Sunday. Because of the extensive schedule of music and activities, Festival and campground vendors could be expected to be open for 14-16 hours daily. Hours of operation must be approved and adhered to. If you close early or run out of product, you will be asked to leave.

  • Thursday from 11 am to 1 am
  • Friday from 11 am to 1 am
  • Saturday from 11 am to 1 am

 

Campgrounds

  • Wednesday from 4 pm until 11 pm
  • Thursday from 7 am to 8 pm
  • Friday from 7 am to 8 pm
  • Saturday from 7 am to 8 pm

 

REQUIRED PAPERWORK & TERMS OF PARTICIPATION

All vendors must supply proof of insurance coverage including: Certificate of liability insurance, proof of WSIB coverage, proof of insurance for all vehicles entering the festival site. Simcoe Muskoka Health permit must also be provided and displayed throughout the weekend.

All vendors are responsible for paying applicable sales taxes

All vendors must adhere to festival trash, recycling and composting policies. You will receive a guidelines manual if approved to be a vendor.

All participating vendors must serve out of compostable products that must be approved by Roxodus management.

All participating vendors will be required to use Roxodus electronic point-of-sale system. Intellitix is our RFID provider and they will work with your staff to train and support them.

VENDING CATEGORIES AND FEES

Artist/Crafter

To be considered an artist/crafter, vendors must make their products with their own hands. The more unique the craft the more interest we will have. Our demographic is a 35+ adult split 50/50 male and female.

The fee for an artist/crafter space is $800 for the duration of the festival. The fee includes a 10 x 10 space, a heavy-duty tent and basic electric service. It also provides for 3 staff passes and parking. We will provide you with a point-of-sale system to accept payments. Intellitix will provide your staff with training.

 

Vendors

Vendors who sell merchandise that is not made by hand.

The fee for a vendor space is $2000 for the duration of the Festival. The fee includes a 10 x 10 space, a heavy-duty tent and basic electric service. It also provides for 3 staff passes and parking. We will provide you with a point-of-sale system to accept payments. Intellitix will provide your staff with training.

You may request a larger space and we will consider each request on an individual basis.

Vehicles

Vehicles (except Food Truck) will not be permitted to be parked at vendor booths. We will provide parking nearby to aid in loading and unloading product. Vehicles may load and unload before and after gates open and close. So be prepared with a wagon or hand truck with wide rubber tires. We will help as best we can to ensure you don’t run out of product.

Cannabis

A.    Smoking and vaping of cannabis is prohibited:

  •  inside workplaces (including work vehicles)
  • inside public places (including public conveyance such as taxis and washroom facilities including portable toilets)
  • at or on bar or restaurant patios and within 9m of the patio (this regulation includes outdoor food service areas at events)

B.    Operators must post no-smoking / no-vaping signs (available from SMDHU) at all areas where smoking and vaping is prohibited
